Weekly pool service agreement template
Last reviewed 22 October 2026
How to use it
Copy the sections below into your own document and replace everything in [square brackets]. Cut what does not apply. Keep the language plain: a customer who understands the agreement is less likely to dispute it.
The template
1. Who this agreement is between
This agreement is between [Business name], [business address, phone, email] ("we"), and [Customer name], [billing address, phone, email] ("you"). It starts on [start date].
2. Where and when
We will service the pool [and spa] at [service address] once a week, usually on [day]. If a holiday or bad weather moves your visit, we will service the pool within [number] days and tell you when.
3. What weekly service includes
- Testing the water and balancing it: free chlorine, pH, total alkalinity, and other readings as needed
- Adding routine chemicals [included in the price / billed as used, see section 5]
- Skimming the surface, brushing the walls and steps, and vacuuming as needed
- Emptying the skimmer and pump baskets
- Checking that the pump, filter, heater and other equipment are running, and checking the filter pressure
- Cleaning or backwashing the filter [every number weeks / when the pressure calls for it]
- A note after each visit with the readings and anything we found
4. What costs extra
- Repairs and replacement parts
- Recovering a green or neglected pool, including the first clean-up if the pool needs one when service starts
- Draining, acid washing, or a partial drain to lower calcium or stabilizer
- Large chemical additions outside routine balancing: [stabilizer, salt, phosphate treatment]
- Extra visits you ask for
We will tell you the price and get your OK before any extra work over $[amount], unless waiting would damage the pool or its equipment.
5. Price
Weekly service costs $[amount] per [week / month]. [Routine chemicals are included. / Chemicals are billed at the prices on your invoice.] We may change the price with [number] days' written notice. You can end this agreement before a new price takes effect.
6. Payment
We invoice [weekly / monthly] [in advance / after service]. Payment is due [on receipt / within number days]. [You authorize us to charge the card or bank account you keep on file when each invoice is issued.] If a payment is more than [number] days late, we may pause service until the account is up to date [and add a late charge of $amount].
7. Access, pets and safety
- You give us access to the pool and equipment on your service day: [gate code, key, or instructions]
- Pets are kept away from the pool area during service
- If we cannot get in, the visit counts as made [and is charged]
- We may decline to service the pool if conditions are unsafe, and will tell you why
8. What we ask of you
- Keep the water level at the middle of the skimmer opening
- Run the pump [number] hours a day, or leave the timer as we set it
- Tell us about leaks, equipment noise, or anything that changes the water, such as a party or heavy rain
- Do not add chemicals yourself without telling us, so our readings make sense
9. Equipment and existing conditions
We are not responsible for equipment that fails from age, wear, or a fault that existed before our service started. We will record the equipment and the pool's condition at our first visit and share that record with you.
10. Insurance
We carry general liability insurance of $[amount]. A certificate is available on request.
11. Ending the agreement
Either of us can end this agreement with [number] days' written notice, by email or text. You pay for service up to the end date. [If you paid in advance, we refund the unused part.]
12. Signatures
[Customer name], signature and date. [Business owner name], for [Business name], signature and date.
Notes on the hard parts
Chemicals. Most disputes start here. Whether you include them or bill them, say which in section 5 and list the big additions in section 4. The pricing guide covers the trade-off.
The first visit. Record the equipment, the water and the clean filter pressure on day one. It is your evidence that a worn heater or an etched surface was there before you.
Customers who smell chlorine. A strong chlorine smell usually means too little working chlorine, not too much. The combined chlorine guide explains it in words you can pass on.
