Common questions

How is this actually free?

PoolSpartan is free for pool service businesses to use. No subscription, no per-seat pricing, no “contact sales” tier. You can run your whole business in it without paying us a cent.

Our revenue is a flat $4.95 Back Office Billing Fee added to each invoice. By default it's paid by your customer (it appears as a line item on their invoice), not by you. We never take a percentage of your service price, and we never charge you to use the software.

Card and ACH processing fees from our payment processor (Stripe) are separate from the Billing Fee. By default you pay those. You can flip a setting to pass them onto the customer as a transparent line item instead — those fees go to Stripe, not to us.

The reason it's structured this way: it lines up our incentives with yours. If the software doesn't help you actually collect invoices, we don't eat. Subscription software gets paid the same whether you grew this year or shrunk. We don't. Full breakdown with example invoice math →

Do I have to use PoolSpartan for payments to use the rest of it?
No. Routes, customers, scheduling, chemistry, invoicing, the whole back-office — all of it works on its own. Most operators do connect Stripe and run payments through us because it's where the autopay + card-on-file flows live, but it's opt-in.
What about my crew — do they need their own accounts?
Yes, but it's free. Pool pros download FieldSpartan on their phone, you invite them into your PoolSpartan workspace with a code, and they get the day's route on the truck. Their visits, photos, and chemistry readings sync back to you automatically.
I'm switching from another software — can I import customers?
Yes. CSV / Excel / JSON imports for customers, locations, and service history. Email support and we'll walk you through it the first time — we'd rather you get it right than re-do it.
What happens to my data if I stop using PoolSpartan?
It's yours. Export customers, visits, invoices, and payment history at any time. If you close your account, we hold the data for a wind-down window (so we can answer customer-care or tax-time questions) and then delete it. Details in the Privacy Policy.
